    • International airfare, airport departure taxes, lunch & dinner in Olgii and Ulaanbaatar, any additional hotel nights in Olgii or in Ulaanbaatar due to delayed flight or any other factors, pre-trip medical check expenses, health insurance, visa fees, travel insurance, alcoholic beverages in Olgii or in Ulaanbaatar, laundry and any other expenses of personal nature.

    iTravel Mongolia LLC , “The Company”, is registered in Mongolia and the registration number is 5963575.

    iTravel Mongolia LLC accepts tour bookings subject to the following, please read carefully!


    1.Booking and payments

    In order to confirm your place in our tours, you will need to submit a completed booking form to our Reservations team with a deposit of 30% of the total price of the selected tour product per person. Upon receipt of your completed form and deposit amount, we will further process the booking and send you the registration number of your booking along with details of the payment. The remaining balance is due 8 weeks prior to the departure date. If you are booking the tour within the 8 weeks prior to the tour start date, then full payment is required at the time of booking. The Company reserves the right not to confirm the booking until the full amount set out in the invoice received by client is paid and has been received by the Company and all the relevant documentation has been signed and completed in full by the client. If the balance is not paid by the due date, “iTravel Mongolia LLC” will treat the booking as cancelled and apply the cancellation charges as detailed in this terms and conditions. We will not accept responsibility for any monies sent by postal services. Payment can be made through bank transfer, international money transfer services (MoneyGram, Western Union) or online payment via VISA and MasterCard.



    No service fee charge will be applied on cancellations received more than 60 calendar days prior to departure of the tour. If you cancel your booking on less than 60 calendar days prior to departure, the following cancellation charges will apply:


  • Between 60 and 30 calendar days prior to tour departure: 25% of the total tour cost
  • Between 29 and 10 calendar days prior to tour departure: 30% of the total tour cost
  • Less than 9 calendar days prior to tour departure: 35% of the total tour cost

    All cancellation requests need to be made in writing and confirmed by our Reservations team by email.


    The Company reserves the right, at any time and for any reason, to cancel the tour on notice to the client. In such event, The Company shall refund the full price of the tour to the client. It is recorded that refund of the tour price as aforesaid shall be the Company’s sole responsibility to the client, and no claim for any damages, howsoever arising, shall accrue against the Company by reason of a cancellation of the tour.



    Scheduled tour prices are based on minimum of 5 people. While iTravel Mongolia LLC has utilized its best endeavors to ensure the accuracy of the tour price, such price is subject to change as a result of factors beyond the Company’s reasonable control, in which event the Company shall utilize its bext efforts to notify clients of such change as soon as possible. If the number of people is less than our minimum threshold of 5 people, then we will be able to run the respective tours privately with an extra cost of USD 100-300 per person depending on the total number of people and departures. There must be a minimum number of 2 people for these private tours. If the minimum booking number is not obtained for the private tour, then the Company reserves the right to cancel the tour and refund the full tour price to the client. The hotel charges in tours are based on twin room costs. Single room supplement is available upon request. You must pay all extra charges and optional service activities, which are not mentioned in your final confirmed tour itinerary.




    4.Passports, Visas and Other Travel Papers

    It is the client’s sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other required documentation are all in order to participate in any of our tour products in Mongolia. Client must ensure that he/she has a valid passport that meets the visa requirements of Mongolia. Client can obtain visas from the Mongolian embassy or consulate in client’s country. The Company will provide the tour invitation letter, upon confirmation of booking, and you will submit this letter to Mongolian embassy or consulate along with your other visa application documents in order to obtain your Mongolian visa. If there is no Mongolian embassy or consulate in your country, one-month visas can be obtained at the airport or railway station in Ulaanbaatar. You will need an official confirmation letter from iTravel Mongolia LLC if you choose to do this.     The Company shall not be held liable for any consequences, damages, or claims if the client prior does not correctly attend to the client’s documentation and related matters as contemplated herein.


    5.Travel insurance

    At iTravel Mongolia LLC, we strongly believe that your safety, security, and comfort throughout the duration of the tour are the most important things. Comprehensive travel insurance is essential and required in order to travel with iTravel Mongolia LLC. We strongly recommend you to arrange your own travel insurance and also we require you to present a proof of such insurance. Should the client unable to present such proof of insurance, the Company may, in its sole discretion, exclude the client from the tour, and the client shall be liable for the cancellation penalty payments set out in the these terms and conditions. The client acknowledges that the travel insurance must include comprehensive medical insurance including provision of air evacuation, and that the Company shall not be liable for any consequences, damages or loss as a result of the client failing to have the necessary cover.  


    6.Your responsibilities

    The client acknowledges that depending on the nature of the tour product booked, or the location(s) in which such our product(s) is/are to operate, there may be a significant degree of personal risk involved in travel on the tour product booked. There are dangers inherent to adventure and exploratory travel generally and Client acknowledges that they have considered such risk to health and safety and are willing to assume it, by confirming their booking of such tour products. The client acknowledges she or he has considered the potential risks, dangers and challenges in light of their own personal capabilities and needs, and expressly assumes the risks attendant to travel under such conditions. The Client acknowledges and agrees that iTravel Mongolia LLC is not responsible for providing information or guidance to the Client with respect to local customs, weather conditions, specific safety concerns, physical challenges or laws in effect in any locations where our tour products are operated, and iTravel Mongolia LLC strongly encourages that Clients locate or make contact with his/her local embassy or consulate in Mongolia prior to departure on our tours.


    Special requests and any medical issues or conditions must be brought to our attention at the time of booking our tour products. We cannot be held liable for any actions or events that could have been avoided with proper disclosure of information. The client accepts to participate in the tour that requires a measure of physical fitness and health and it is the client’s obligation to ensure that he or she is medically fit to embark on the tour. The passengers over the age of 55 take sole responsibility that they are fit enough to travel and may be asked to leave the tour if they are hindering the progress of the tour.


    Personal property is always your own responsibility, as to ensuring that you have all the appropriate passport and visa for the duration of the tour.




    iTravel Mongolia LLC is not responsible for any damages, expenses, losses, or claims which are attributable to the fault of any client, the unforeseeable or unavoidable act or mission of third party unconnected with the provision of any services that form any part of our tour products, or a force majeure event (as defined below).




    In the event that any loss, death, injury, or illness is caused by the negligent acts and/or omissions of iTravel Mongolia LLC or of our local contractors or other suppliers of any services which form part of our tour products or services then iTravel Mongolia LLC limits its liability.


    8.Force majeure

    iTravel Mongolia LLC shall not be liable in any way to the client for death, bodily injury, illness, damage, delay or other loss or detriment to person or property, or financial costs both direct and indirect incurred, or for iTravel Mongolia LLC failure to commence, perform and/or complete any duty owed to the client if such death, delay, bodily injury (including emotional distress or injury), illness, damage or other loss or detriment to person or property is caused by Act of God, war, war like operations, mechanical breakdowns, terrorist activities, civil commotions, labor difficulties, interference by authorities, political disturbance, riot, insurrection and government restraint, fire, earthquake, extreme weather or any other cause whatsoever beyond the reasonable control of  iTravel Mongolia LLC.



    9.Authority on tour

    The client must all times comply with the laws, customs and foreign exchange regulations of Mongolia during the tour. In addition, the client acknowledges that any disruptive, dangerous or potentially dangerous behavior during the tour shall not be tolerated and that the Company, its employees, representatives, agents, and/or contractors being so authorized, reserve the right to exclude the client from the tour at any point therein in such circumstances. The company shall not be liable for any costs and/or expenses for the client resulting from exclusion as aforesaid, and the client shall not be entitled to a refund or rebate of the tour price or any additional compensation in such instances.






    The Company reserves the right to use any photographs and video taken during the tour for use in marketing or any other advertising material, and the client hereby consents to such us. The client further agrees that the Company shall retain copyright over any such photographs and videos taken during the tour and/or used in its brochures and, to the extent necessary, the client hereby assigns copyright in such photographs and/or videos to the Company.


    11.Travel documents

    On booking, the client shall be issued with our tour dossier and pre-departure information documents. It is the responsibility of the client to read and understand these documents before travelling.




    The client shall be responsible for baggage and personal effects brought by him or her on the tour, and the Company shall not be liable for any loss or damage to such baggage or personal effects, howsoever arising. The client shall be entitled to one bag (being a backpack or soft bag, and not suitcase) that weighs not more than 25 kilograms, and daypack. Should the client require a larger baggage allowance, this may be arranged with the Company against payment of a fee that the Company may levy in its sole discretion. Notwithstanding the aforegoing, the Company reserves the right to refuse excess baggage. Please note that international flights often allow 20-25 kilograms of baggage onboard and domestic airlines in Mongolia allow 15 kilograms of baggage.
